1. Who we are
HiveCloud (“we”, “us”) operates https://hivecloud.tech, a platform for aerial image processing and photogrammetry on decentralized compute.
Data controller contact: info@hivecloud.tech. This policy explains how we handle personal data when you use the Service.
2. Data we collect
| Category | Examples | Source |
|---|---|---|
| Account data | Email address, password hash, display name, organization, country (if provided) | You at signup or in profile |
| Project & imagery | Uploaded photos, project names, processing settings, job logs, outputs (orthophotos, point clouds, etc.) | You when using the Service |
| Billing data | Account credit balance, ledger entries, payment references from Mollie (we do not store full card numbers) | You / payment provider |
| Technical data | IP address, browser type, session cookies, server logs | Automatic when you use the site |
| Communications | Support emails you send us; transactional email delivery metadata | You / mail provider |
| OAuth (optional) | If you sign in with Google: profile and email from Google per their consent screen |
3. How we use data
- Provide the Service — authenticate you, store projects, run jobs, deliver results, manage credit.
- Security & abuse prevention — protect accounts, investigate misuse, comply with legal requests.
- Transactional email — verification, password reset, optional job notifications (see Email Communications Policy).
- Improve the platform — aggregated usage and error diagnostics (not sold to advertisers).
- Legal compliance — tax, accounting, and regulatory obligations where applicable.
We do not use your imagery for marketing, sell your personal data, or send promotional newsletters.
4. Legal bases (EEA / UK users)
Where the GDPR or UK GDPR applies, we rely on:
- Contract — processing needed to deliver the Service you signed up for.
- Legitimate interests — security, fraud prevention, and improving reliability, balanced against your rights.
- Consent — optional job-completion emails (you may withdraw via email preferences or unsubscribe links).
- Legal obligation — where we must retain or disclose data by law.
5. Where processing happens
Storage: Project imagery and results are stored in EU-based object storage (S3-compatible, UpCloud region configured for the deployment).
Decentralized compute: When you start a job, imagery and job packages may be transferred to independent Golem network providers for the duration of processing. Providers are selected via market matching; we do not operate their hardware. Files should be deleted on the provider after the job, but we cannot guarantee provider behaviour — see risk acknowledgment in the Terms of Service.
Application hosting: The HiveCloud web application and database run on our VPS infrastructure. Logs and backups may reside in the same region unless stated otherwise.
6. Processors and third parties
We use trusted providers who process data on our instructions:
- UpCloud — object storage for uploads and results.
- Golem Network providers — ephemeral compute for photogrammetry jobs.
- Mollie — payment processing for account top-ups.
- Proton Mail (or configured SMTP provider) — transactional email delivery.
- Google — optional OAuth sign-in only, if you choose it.
Each provider has its own privacy terms. We share only what is necessary for their role.
7. International transfers
We aim to keep personal data in the European Economic Area. If a subprocessors transfers data outside the EEA, we rely on appropriate safeguards (such as Standard Contractual Clauses) where required by law.
8. Retention
- Account data — while your account is active, then deleted or anonymized within a reasonable period after closure unless law requires longer retention.
- Project imagery & outputs — until you delete the project or your account, unless you request earlier deletion.
- Billing records — as required for accounting and tax (typically several years).
- Server logs — rotated on a short rolling basis unless needed for security investigation.
9. Your rights
Depending on your location, you may have the right to:
- Access, correct, or delete your personal data.
- Restrict or object to certain processing.
- Data portability for data you provided.
- Withdraw consent for optional emails at any time.
- Lodge a complaint with your local data protection authority.
To exercise rights, email info@hivecloud.tech. We may need to verify your identity.
10. Security
We use HTTPS, access controls, hashed passwords, and infrastructure isolation between environments. No method of transmission or storage is 100% secure; you are responsible for keeping your password confidential and for the sensitivity of imagery you upload.
11. Children
The Service is not directed at children under 16. We do not knowingly collect data from children. Contact us if you believe a child has provided personal data.
12. Changes
We may update this policy. The “Last updated” date will change when we do. Material changes may be communicated by email or notice on the site.
